Visa process automates the burden of sending complex document or data folders for approval. Each user is individually notified but still has a global view of the validation folder.

 

It reproduces, as a software procedure, the processes that are generally based on paper forms. The display forms of the process can be configured to specifically match existing paper forms that are used by the organization. By matching a web page form to an existing hard-copy business process form, Advitium increases user acceptance and decreases user training time. This also enables Advitium to also support pockets of paper-based business process activities because the printed web forms match the physical forms.


Advitium virtual package can support various serial, parallel, and ad-hoc activities. These can include auto nodes that tell the Advitium package to download or upload information from other systems, thereby eliminating the need for user interaction on some activities. Users can be automatically selected depending on the nature or type of required visa.

In order to avoid multiple selections and tedious work, a set of documents can be sent and associated to only one process. The system will automatically check that documents sent under the same folder have common characteristics. Therefore one given user will be notified once for this set of documents; he will also have a synthetic and global view of the task that needs to be performed.
Each user assigned to the tasks gives visa and mark ups to the different documents while having in sight the different mark ups and visas of the other users.


The status of each document is modified depending on the visas and mark ups, until it gets to the "Approved", "Approved without reserves" or "Refused" status. Visas, mark ups and forms are automatically generated by the process as PDF documents. They can be printed or stored in an electronic form. When pointing to a document it is always possible to get back to the audit trail with all visas (including dates, author, and comments) as well as to the PDF files.
